Moving From Spreadsheets to a Database: What to Prepare First

StellarStacks

Many businesses reach a point where a spreadsheet that once worked well has become the place everything lives. Moving that information into a purpose-built system can reduce duplication and make records easier to trust. But the move goes more smoothly when the data and the decisions behind it have been looked at first.

1. Decide what should actually move

Not every tab, column or old record needs to come across. Agree what the new system genuinely needs, and what can be archived. Starting with a smaller, cleaner set of data is often easier than carrying everything forward.

2. Look for duplicates and gaps

The same customer entered three slightly different ways, missing dates and blank fields are all common. A system that enforces structure will expose these problems. It helps to know where they are before migration rather than after.

3. Check for inconsistent formats

Dates written in different styles, free-text status fields and mixed units can all cause trouble. Decide on the format each field should have in the new system.

4. Map the fields

Field mapping means deciding where each piece of existing information will live in the new structure. It is also a good moment to ask who owns each type of information and who can change it.

5. Agree who checks the result

Someone who understands the original data should review the migrated records. They are the person most likely to spot what looks wrong.

Is a database always the answer?

No. Sometimes a tidier spreadsheet or an existing product is enough. A purpose-built system becomes worth considering when several people depend on the same information, access needs to be controlled, or manual re-entry keeps causing errors.
